The Shopify admin explained: where everything actually lives

A map rather than a tour. Including the six things everyone hunts for in the wrong menu.

The Shopify admin is organised well once you know the logic: the left menu is your daily work, Settings is your business configuration, and the theme editor is appearance. Most confusion comes from looking for something in the wrong one of those three.

The main menu

Orders. Everything that's been bought. Fulfilment, refunds, returns, and draft orders — manually created orders you can send as an invoice, which is how most stores handle phone and trade sales.

Products. The catalogue: products, variants, collections, inventory, transfers, gift cards. Inventory across multiple locations lives here too.

Customers. Customer records, segments, and their order history. Segments are more powerful than most stores use — they drive marketing and can drive discounts.

Content. Files, metaobject entries, and your media library. This is where metaobjects are managed once defined.

Analytics. Reports and live view. Depth depends on plan. The four numbers worth watching daily are sessions, conversion rate, average order value and the checkout funnel.

Marketing. Campaigns and automations, plus whatever marketing apps you've connected.

Discounts. Codes and automatic discounts. Anything the native engine can't express needs Shopify Functions.

Apps. What's installed and their permissions. Worth auditing twice a year — most stores are paying for something nobody uses.

Online Store. The storefront: themes, blog posts, pages, navigation, domains, preferences. The theme editor lives here.

Settings — your business configuration

This is where beginners get lost, because it's a separate area rather than a menu item.

The six things everyone looks for in the wrong place

  1. Shipping rates. Not in the theme editor. Settings → Shipping and delivery.
  2. The email customers receive. Not in Marketing. Settings → Notifications.
  3. Policy pages. Not in Pages. Settings → Policies (they render as pages automatically).
  4. The navigation menu. Not in the theme editor. Online Store → Navigation.
  5. Metafield definitions. Not on the product. Settings → Custom data.
  6. Currency and country settings. Not in Store details alone. Settings → Markets.

The theme editor is a separate mental space

Online Store → Themes → Customize. Here you arrange sections, set their content, and change global theme settings.

The important distinction: the theme editor changes appearance, Settings changes behaviour. A price that displays wrongly is usually a theme problem; a price that's charged wrongly never is.

And always work on a duplicate for anything substantial — development stores and staging.

Two things worth setting up on day one

Staff accounts for anyone else who touches the store, with only the permissions they need. Never share the owner login.

Two-factor authentication on the owner account. This account controls your revenue.

Both take five minutes and remove a whole class of problem — staff accounts and permissions.

Daily work is the left menu. Business rules are Settings. Appearance is the theme editor. Almost every "where is that?" resolves to picking the wrong one of those three.
